We place the utmost importance on the protection of your personal data. Below, we would like to inform you about when and which of your data we collect that we need for your application process
Start of Data Collection
Every access to our internet offering is saved in a log file. In this log file, we record the following data:
- IP address of the requesting computer
- Date and time of the request as well as duration of the visit
- Browser of the requester
- Operating system of the requester
- Transferred data volume or URL parameters
Collection, Processing, and Use of Your Personal Data
You use an electronic system for applicant management, which enables us to offer you targeted suitable professional tasks. Your application is submitted to us via this electronic system and is available to our branches throughout Germany. Your application is not branch-specific with the system input. Rather, the data collection for the application process is for our company, with support mainly provided by one branch.
We create applicant profiles from the data you provide. Our branches may provide these applicant profiles to our clients who want to cover their personnel needs with our help. For this purpose, we store and process your personal and sensitive data as far and as long as necessary to provide our services. This includes at least your name, first name, and full address. In addition, we need all details typically found in a CV for successful service provision. In particular, the following data may be requested:
- Name, first name, and address
- Title
- Contact details (phone numbers, fax, email) and availability
- Education (e.g., schools attended, date and type of graduation, federal state, grades)
- Studies (e.g., subjects, focus areas, date and type of degree, federal state, grades)
- Work experience (e.g., employer, position, tasks, experience)
- Qualifications (detailed query about qualifications in their respective form)
- References (e.g., name, contact details, and company of reference persons)
- Desired position (e.g., salary expectation, desired activities, place of work, accessibility by public transport)
- Availability (e.g., current professional status, termination date, unemployment date, notice periods, desire for part-time, full-time or shift work)
- Information on how you became aware of us (for marketing purposes)
In the event of employment, we also require additional data necessary for establishing and conducting an employment relationship.
Newsletter
If you subscribe to our newsletter, we use your email address to send the newsletter. You can unsubscribe at any time. Your email address will not be used for other purposes.
If you open the newsletter or click on a link, this is logged by our web server (date, time, email address). This serves internal statistical purposes only. These data are not combined into personal usage profiles
Data Security
Your personal data are treated strictly confidentially and encrypted during electronic transmission. The data encryption is performed according to the technically latest standards known to us and is continuously further developed according to technical standards.
If you provide an email address in our system, we assume we may communicate with you via this email address.
Emails from headwaypersonal gmbh contain confidential and/or legally protected information. If you are not the intended recipient or have received an email by mistake, we point out that unauthorized copying and forwarding of this email is not permitted. We cannot assume liability for the actual process of data transmission over the internet
Our employees are extensively trained in handling personal and sensitive data and have committed in writing to careful handling of such data as well as compliance with data protection regulations, especially the Federal Data Protection Act (BDSG-New / EU GDPR).
Disclosure of Personal Data
To ensure your application can be successful, we must also forward your data to third parties.
You can change the information provided at any time, but changes cannot undo any disclosures already made or initiated.
Under no circumstances will we rent, sell, or otherwise commercially disclose data to third parties. We will only disclose your data to third parties who are not our clients if we are legally obligated to do so or ordered by authorities or courts, or if disclosure is necessary to assert or defend our rights or to prevent illegal activities.
Disclosure of your data to countries outside the European Union is not intended. Within the EU, data is only forwarded if you explicitly request placement in those countries.
Data Storage
We store your data for the duration of the application process. You have the right at any time to delete your data or to request us to delete it. In longer application processes, we will regularly contact you to check the currency of your data and ask if you wish to continue your application and agree with the continued storage of your data.
Your applicant profile is stored in our applicant pool. This also happens if you initially applied for a specific position and have actively confirmed system-side the inclusion in the applicant pool. Deletion of your data from the applicant pool occurs upon your revocation.
Granting or Refusing Data Protection Consent
During registration, we ask whether you consent to the data collection and use described above. Once you click to “Accept,” you have given your consent in accordance with § 3 BDSG-new. You also acknowledge this privacy policy. If you refuse consent, your application cannot be processed.
Withdrawal of Consent, Deletion of Data, Access
If you have given consent, you can revoke it at any time with future effect by sending a declaration to: datenschutz@headway-personal.com. You have the right to demand correction, deletion, or blocking of your data, insofar as this complies with legal retention obligations.
You also have the right to access your stored data at any time, including information on origin, recipients, and purpose.
Technical Control – Cookies
Our website uses so-called “cookies.” These simplify and speed up the control of your visit on our website. If you do not wish our website to use cookies on your computer, you can deactivate cookies in your browser settings and configure your browser to inform you when cookies are used.

Tracking via Google Analytics
We use “Google Analytics,” a web analytics service by Google Inc., USA. Google uses
cookies, small text files stored on your device, to analyze your use of our website. The
data generated by the cookie is usually transmitted to a Google server in the USA and
stored there.
If IP anonymization is activated on the website, your IP address is shortened within the
EU or other parties to the EEA agreement before transmission. Only in exceptional cases
is the full IP address sent to the USA and shortened there.
Google uses this information to evaluate your use of the website on our behalf, compile
reports on website activity, and provide other services related to web and internet usage.
Pseudonymous usage profiles may be created. The IP address transmitted by Google
Analytics is not merged with other Google data.
We use Google Analytics only with activated IP anonymization. Thus, your IP address is
processed only in a shortened form. Personal identification is excluded.
We use Google Analytics to analyze website use and improve functionality and user
experience. This also represents our legitimate interest in data processing according to
Art. 6 para. 1 sentence 1 lit. f) GDPR.
You can prevent cookie storage by adjusting your browser settings, but this may limit
website functions.

We have a data processing agreement with Google to ensure data processing only under
our instructions and compliance with applicable data protection laws.
For cases where personal data are transferred to the USA, Google has certified under

Data is deleted once it is no longer necessary for the purpose of collection.
Security
To protect your personal data against unauthorized access and misuse, we have taken extensive technical and organizational precautions. Our security procedures are regularly reviewed and adapted to technological progress. Our employees are obliged to maintain confidentiality.
Links to Other Websites
If you visit an external website via a link from our site, the external provider may receive information about which of our websites you came from. The external provider is responsible for these data. We cannot influence this process.
Social Media Presence
- We maintain profiles or fan pages on social media to communicate with users and inform about our products, offers, and services. US providers are certified under the Privacy Shield and thus obligated to comply with European data protection.
- By using or visiting our profile on a respective network, the network’s privacy and terms of use apply.
- We process data you send to us via these networks to communicate and respond to your messages.
The legal basis for processing your personal data is our legitimate interest in communication and external representation for advertising according to Art. 6 para. 1 sentence 1 lit. f) GDPR.
